Meeting of the executive council shall be convened by secretary under general directions of the President on his own or on requisition of at least three members of the executive council. In case the meeting is not called within the prescribed period then any seven members of the executive council can convene such a meeting.
All meetings of the Executive Council shall be presided over by the President or in his/her absence by the Vice-President. In the case of absence of both the president and the Vice-President the meeting shall choose from among the members present, a person as chairman for the meeting.
The secretary shall, with the approval of the President prepare the agenda for a meeting.
Ordinarily a weeks notice shall be given for a meeting. For an emergency meeting maximum period of notice shall be given as may be conveniently possible.
At least three days before an ordinary meeting the Secretary shall issue the agenda for the meeting. If as occasion so demand supplementary agenda may be issued by the Secretary 24 hours before the due time of the meeting.
A member may in a meeting of the Executive Council with the permission of the President propose consideration of an item not included in the agenda. For this consideration no previous notice to members will be necessary.
Every matter under consideration in a meeting shall be decided by a simple majority vote of the members present and voting in the meeting.
In case of tie so long as the meeting is in session the executive council may reconsider and revote on the issue until the conclusion of the meeting. If tie persist, until that time matter will be decided by toss by the chair person.
The decision on each item of the agenda shall be reduced to writing at the end of the discussion of that time and road out to the members.
The record of proceedings shall be prepared by the Secretary. The minutes of the proceeding shall be circulated among the members of the executive council before the next meeting by the Secretary.
These rules may be changed or modified by the executive council.
